Role Description

Our media company is seeking an HR Manager to work in our Eugene, Oregon office. This is a full-time position (40 hours per week). The ideal candidate will work to ensure all HR duties are undertaken in accordance with employment law, company policies and ensure any risk to the business in minimized. Additionally, the ideal candidate will possess basic accounting skills, maintain confidentiality and have excellent multi-tasking and time management skills. They will also need to have a broad understanding of state and federal leave, wage and hour, benefit and payroll requirements. Additionally, they need to be honest, thorough and accurate, with the ability to complete duties in the assigned timeframe and be aware of legal timeframes for addressing various employee issues.

This position will work closely with the Corporate Controller to coordinate and maintain all human resource related functions for our company, which operates radio stations in 12 distinct markets throughout Northern California, Oregon and Washington.



  • Provide support to the Corporate Controller
  • Perform basic office tasks, such as filing, data entry, answering phones, processing the mail, etc.
  • Handling communication with employees, vendors, co-workers and others via phone, email and in-person


  • Handle all new hire, termination and other personnel changes each pay period
  • Update ADP with payroll changes
  • Update payroll spreadsheets with changes made to ADP
  • Update payroll spreadsheets prior to each pay period and send them to the individual markets to update
  • Oversee/manage garnishment and support order notices 
  • Benefit enrollments and changes
  • Review Absence Trackers for negative balances and check for unaccrued forms
  • Update Absence Trackers each pay period and return to respective market
  • Verify vacation and sick leave balances match with ADP
  • Scan and file personnel records
  • Keep I-9 files up to date
  • Update internal census monthly
  • Make changes and update Aflac and FSA as needed
  • Employee concern investigations 


  • Update health insurance spreadsheet with employee changes
  • Track eligibility of new hires and part time employees for benefits
  • Communicate eligibility for those newly eligible for benefits
  • Process health insurance invoices for payment
  • Prepare census and other necessary documents for annual renewal
  • Open enrollment communication and changes
  • ACA reporting and compliance
  • Send out required notices, as needed
  • Provide Corporate Controller with monthly FSA funding requirements


  • Process COBRA paperwork and send to all eligible terminated employees
  • Track on OnQue software and follow up as needed
  • Track payments received – communicate on payments not received timely

Leave Requirements (FMAL/CFRA/OFLA etc.)

  • Keep up to date on state and federal leave laws (FMLA, CFRA, OFLA and others)
  • Reach out to employees who are on medical leave
  • Follow through on all necessary leave paperwork

Workers’ Compensation

  • Stay on top of and follow through on all workers’ comp claims
  • File Washington State workers’ compensation reports quarterly

401k Administration

  • Upload 401k contributions each pay period and provide Corporate Controller with reports
  • Contact newly eligible employees with 401k enrollment information
  • Auto-enroll employees in the 401k plan and increase contribution levels as needed 
  • Sign off on all required 401k documents for employee changes, rollovers, loans and upload to Alerus as needed.
  • Determine eligibility for 401k hardship requests
  • Prepare for 401k audit and send extension letters if needed
  • Check 401k compliance testing and send notices as needed 
  • Assist Alerus with filing completed 5500 at end of audit
  • Send out required 401k notices

Performance Reviews

  • Send monthly reminders to market managers for upcoming performance reviews to be done
  • Follow up with any reviews not completed on a monthly basis

Employee Handbooks

  • Keep up to date on all changes on personnel issue for CA, OR, and WA and federal employment issues
  • Update Employee Handbooks as needed
  • Prepare send out addendums for any changes

Compliance and Reporting

  • Make sure all compliance posters are up to date at all locations
  • Provide needed information to government agencies on all surveys received
  • Provide response to all unemployment claims and dispute as needed 
  • File annual EEOC reporting
  • Set up and track completion of mandatory training for all supervisors and California employees

  • WageWorks, corporate workers’ comp and HI journal entries
  • Monthly reconciliations for 401k and FSA
  • Leases
  • Prepare for audit – payroll reconciliation, payroll reports
  • End of year accrual for payroll and payroll taxes
  • 1099’s 
  • Other accounting tasks as assigned


  • Prepare job descriptions for all positions in the company 
  • Review exempt vs. non-exempt employees 
  • Contractor vs. employee review


  • Assist with payroll aspects of the annual budgets
  • Assist with annual 401k, financial and workers’ compensation audits, as needed
  • Assist with information needed for annual budget process
  • Commitment to working efficiently and accurately
